The Opportunity 

As a Commercial Administrative Assistant, you are responsible for the accurate and efficient management of the end-to-end sales order process, ensuring all customer orders are processed in line with agreed service levels, contractual arrangements, and regulatory requirements. You act as a key liaison between customers and internal stakeholders, maintaining high standards of customer service, data accuracy, and operational excellence while supporting continuous process improvement and compliance with GDP and quality procedures.

Role Responsibility

So, what will you be doing? This role has a broad and varied remit and the successful candidate will have responsibility for duties including:

  • Manage the daily end-to-end sales order process, ensuring orders are processed accurately and within agreed service levels. 
  • Process customer orders received via webshop, email, and telephone. 
  • Maintain proactive communication with customers and internal stakeholders regarding order status, issues, and resolutions.
  • Record and maintain customer agreements, pricing, and commercial arrangements within ERP systems. 
  • Ensure all activities are completed in compliance with Good Distribution Practice (GDP) standards and local quality management procedures.
  • Liaise closely with Procurement to monitor stock availability and escalate significant demand fluctuations or supply risks.
  • Collaborate with Warehouse colleagues to ensure efficient order fulfilment and smooth operational workflows.
  • Manage backorders and resolve system-related order discrepancies and irregularities. 
  • Perform daily operational closing activities, including cycle counts, transport data validation, and other recurring order-entry tasks.
  • Maintain customer and debtor data records, ensuring information is accurate and up to date. 
  • Monitor, analyse, and report on agreed operational and customer service performance metrics.
  • Identify and support sales order management process improvements to drive efficiency and service excellence.

The Ideal Candidate

  • Educated to secondary vocational (MBO) level or equivalent.
  • Relevant qualification in Business Administration, Commercial Administration, Logistics, Supply Chain, Customer Service, or a related discipline is preferred.
  • Minimum of two years' experience in a commercial, customer service, sales support, or administrative role. 
  • Strong attention to detail and a high level of accuracy when processing data and orders.
  • Excellent organisational skills with the ability to manage multiple priorities and meet deadlines.
  • Strong verbal and written communication skills, with the ability to build effective relationships with customers and internal stakeholders. 
  • Ability to work collaboratively across functions, including Procurement, Warehouse, and Customer Service teams.
  • Strong problem-solving skills and the ability to identify, investigate, and resolve order-related issues. 
  • Proficient in using ERP systems and business software to process transactions and maintain records.
  • Ability to follow standard operating procedures and work within regulatory and quality frameworks.
  • Process improvement mindset with the ability to identify efficiencies and contribute to continuous improvement initiatives.
  • Self-motivated, proactive, and able to work independently while contributing effectively as part of a team.
